Terms and Conditions 

Privacy policy

Thank you for choosing Toby Hill Farm Cottage and we look forward to welcoming you. We shall do everything reasonably expected to ensure that you have an enjoyable stay, so please read our terms and conditions of booking below-

Charges and Terms

Please complete and return our booking form and ensure we receive a non-returnable deposit, usually the first £100.00 per week, of the holiday price within 7 working days of booking or we may be obliged to release the dates. The balance should be paid by cheque or bank transfer, at least 8 weeks before the start of the holiday, unless booked at short notice (under 28 days), then it should be paid as soon as reasonably possible. We reserve the right to cancel the booking if full payment has not been received by this date. For last minute bookings, payment should be made by cash on arrival or bank transfer.

Cancellation and Insurance

By making your booking, our agreement is a legal contract and your deposit is non-refundable. If you cannot take your holiday and the booking cannot be re-let, you are still liable to pay for the booking in full, even if we have not yet received your balance. If we do succeed in re-letting the booking, you are no longer liable for the balance, or we will refund it to you if you have already paid it.  Please note that your deposit is not refundable under any circumstances. For these reasons we recommend that you take out holiday insurance that includes cancellation cover.

In the unlikely event that the accommodation became unavailable and we have to cancel then our liability is limited to a full refund only. In this instance we will also try to find and recommend an alternative to you.  If this was not possible, or unacceptable to you, our liability would not extend beyond this refund.

Corona Virus/Government Restrictions

As these are very uncertain times due to the Corona Virus or Government restrictions, all bookings are subject to being allowed to travel and our guests or ourselves not having any symptoms of Corona Virus around the time of your holiday. We do ask if you have any symptoms that you do not travel here or if you develop any symptoms while on your holiday here, that you inform us, vacate the cottage as soon as possible and travel home immediately, to allow time for a deep clean of the cottage as we may have other guests booked to arrive following your stay. If you do have to self isolate here (only if this is possible), you will be subject to the full price being paid for the subsequent weeks that you require the cottage. If we have to cancel your holiday subject to Corona Virus or Government restrictions, then our liability is to give you a full refund only of any monies you have paid to us in respect of your holiday or we can transfer your booking to another suitable date to be agreed.

Arrival and Departure

The accommodation will be available from 5pm on the day of arrival, unless otherwise arranged.

Please be ready to leave the accommodation by 9.00/9.15am on the day of departure, unless otherwise arranged. We ask that you leave the cottage tidy and clean, as far as possible, in the condition that you would like to find it.

Late arrival procedure

Please ensure you contact us no later than 6pm to let us know if you will be arriving late.  Failure to notify us may result in it being difficult to access the cottage and we would like to make alternative arrangements in this case.

Pets

Sorry, we do not allow pets inside this property.

Smoking

We request that you do not smoke inside the cottage. If you wish to smoke outside please ensure you dispose of matches and cigarette butts safely in the metal ash bin provided outside.

Damages and Breakages

We request that you take reasonable care of our property. You are responsible and liable for any breakages or damages that you cause to the accommodation or its contents. Please report these as soon as they occur while you are staying to enable us to rectify as soon as possible. We reserve the right to charge you for repair or making good if the damage or breakage is significant.

Please let us know about any problem with your accommodation as soon as possible, and we will ensure that, within a reasonable time, this is repaired or alternative arrangements are made.

Liability

Visitors are asked to take care at all times while on our property. Please note that this is a working farm, with livestock, sheep dogs and moving tractors. Parents in particular are asked to ensure that children are safe, accompanied by a responsible adult and not left unattended. We do not accept responsibility for injury or damage to and loss of guest property, cars and contents and you agree to indemnify and hold us harmless from against all actions, claims, costs and proceedings (including reasonable legal fees incurred in defending the same) arising from your acts and omissions (and those of your party) while on our property. In the event of guest misbehaviour or other necessary cause, we reserve the right to terminate the let without any refund of letting monies.

We (or our representative) reserve the right to enter the property at a reasonable time for the purpose of emergency maintenance or repair or any other need.

Wi-Fi

Internet access is offered free in the cottage on the basis that it is provided for recreational use only. We are situated in the countryside so neither a minimum speed, unrestricted bandwith, nor uninterrupted provision of access is guaranteed and we will not be liable to any form of compensation or expenses claimed by you in the provision or quality of internet connectivity.

Complaint

We want your stay to be as enjoyable as is possible. Nevertheless, should you have cause for complaint, please advise us immediately and we will do our best to assist you.

Data

Any data collected during the course of this booking may be stored as per the data protection act.
